Team Lead, Medical Clinic – Job Description


REPORTS TO: Executive Director, Rideau Crossing Family Health Centre




The team lead’s main role is to monitor and assess daily operations of the clinic and coordinate the work of the team of Medical Office Assistants & RPNs to ensure that physician & patient needs are effectively and efficiently met.


The team lead will also be expected to perform Medical Office Assistant responsibilities as time allows and as is required. This role also resolves routine operational issues and problems, consulting with and escalating issues to the Executive Director as appropriate.


The team lead also serves as assistant to the Executive Director in terms of fulfilling the role of senior administrative official for the organization, backing up the Executive Director as required

Human Resource Responsibilities

  • Develop and maintain knowledge in all aspects of the medical office assistant, reception and referral clerk positions; capable of training and backing up all these positions as required
  • Assess and maintain adequate staffing levels and skill mix to ensure quality of work and patient care remains at high level
  • Work with the Executive Director to encourage professional and personal development of staff and foster a strong team environment
  • Leads in HR decisions involving day to day clinic operations and works with Executive Director to manage and resolve operational issues;
  • Schedule and monitor orientation of new staff
  • Coordinate vacation and time-off requests, plan and schedule coverage and handle just in time solutions to sick calls and increased work load
  • Train new employees on clinic procedure and EMR (PS Suite); provide support until new hires are fully effective and efficient in their responsibilities


Nursing Management

  • Collaborate with clinic RPNs regularly to ensure they are involved in helping to meet day to day operational needs;


  • Work with RPNs to coordinate any required in-house training required (e.g. CPD, defibrillator, autoclave, etc.…) and help with ensuring that clinic standards are up to date for fridge monitoring, public health inspections, …

Organizational Responsibilities

  • Assist the Executive Director in the development, review and revision of office policies, procedures and overall strategic plan for the clinic;
  • Assist the Executive Director in the planning of staff meetings and attends regular meetings, when required, with physician executive committee and assists with the communication and dissemination of decisions and outcomes of meetings
  • Communicates well and establishes effective working relationships with Executive Director, clinic physicians and staff;
  • Performs other duties as may be directed from time to time by the Executive Director;

Requirements – Essential

  • Excellent working knowledge of PS Suite (Telus Health) EMR software or equivalent EMR program with minimum 3 years experience
  • Working knowledge of medical terminology
  • Excellent problem-solving skills and demonstrated ability to work independently and as a valuable member in a team environment
  • Excellent customer service, communication and interpersonal skills
  • Exceptional organization, time management and prioritizing skills.
  • Ability to work well under pressure and handle difficult situations while remaining calm
  • Demonstrate elevated work ethic
  • Ability to adhere to center confidentiality policies
